PURPOSE OF THE POSITION

To capture all invoices into the ARCH system accurately and process all purchase orders as per the required standards to support store operations.

KEY ACCOUNTABILITIES

Carefully check, match, and capture supplier invoices using the Arch system.
Ensure high accuracy to prevent downstream errors in financial reporting and vendor payments.
Cross-check Goods Received Vouchers (GRVs) against supplier invoices to ensure goods delivered match records.
Manually input and verify invoice data to maintain alignment between physical stock and accounting records.
Actively identify and investigate price and quantity mismatches between purchase orders and invoices.
Engage with relevant receiving controllers to implement corrective actions, preventing incorrect payments and stock inaccuracies.
Address invoice-related queries from vendors and internal teams.
Generate and process Credit Memos for returned, damaged, or short-delivered goods, ensuring vendor accounts are accurately adjusted.
Match and finalize daily vendor transactions to End of Day and prepare batches for submission to the Support Office.
This includes ensuring all documentation is complete and reconciled manually before submission.
Perform a range of general admin tasks, including filing, document tracking, and updating logs.
Execute and verify all day-end reconciliation activitiesto ensure the integrity of daily data.
